How to use it

  1. Click any text and type over it: your company, the supplier, the PO number.
  2. Fill in Deliver to if the goods go to a warehouse or a site rather than your own address.
  3. Set Deliver by. A purchase order without a date is a request, not a plan.
  4. Add the lines with the supplier’s own part numbers in the SKU field, so there is no doubt what you mean.
  5. Use Add a field for a project, a cost centre or the quote you are ordering against.
  6. Download PDF or print, and send it.

What a purchase order is for

It is your side of the deal, in writing, before the goods move. It fixes what you ordered, at what price, delivered where and by when. When the invoice arrives you check it against the order and against what was received; if the three agree, you pay. If they do not, the order is what settles it.

What to put on it

A number of your own. The supplier and their contact. Where the goods are to be delivered and who will receive them. Each item, with the supplier’s part number, the quantity and the agreed price. Any discount you negotiated, shown as a discount. The date you need it by. Who authorised the spend.

Is it really free?

Yes. There is no account, no trial and no watermark beyond a small line at the foot of the document.

Where are my purchase orders kept?

In your browser’s storage on this device. They are not sent to us or anyone else. Use Export as a file for anything you need to keep: clearing your browser’s site data removes them.

Why a separate deliver-to address?

Because the business that pays and the place that receives are often different: a head office and a warehouse, or your company and a customer’s site for a drop shipment.

Can I order in my supplier’s currency?

Yes, pick it in the panel. The amounts follow that currency’s own decimal places.

Is a purchase order a contract?

It is an offer to buy on the terms written on it. Whether and when it becomes binding depends on the supplier accepting it and on the law where you trade, so ask someone qualified if it matters.
