When an invoice was wrong, or goods came back, you do not edit the invoice: you issue a credit note against it. This one keeps the tax rates line by line, so the tax you give back matches the tax you charged.

How to use it

  1. Start from the invoice generator and choose Raise a credit note, and the lines, tax rates and invoice number come across. Or start here and type them in.
  2. Delete the lines you are not crediting, and lower the quantity on a line you are crediting in part.
  3. Keep the same price, discount and tax rate as the invoice, so the credit reverses exactly what was charged.
  4. Say why under Notes: returned, damaged, overcharged, cancelled.
  5. Preview, then Download PDF.

What a credit note is

It is a document that reduces what a customer owes you, tied to a specific invoice. Invoices are part of your records and, in most places, your tax records, so a sent invoice is not quietly altered or deleted. The correction is a second document that points at the first, and the two together tell the true story.

What it must show

Its own number, in its own sequence. The date. The invoice it relates to, by number and date. What is being credited and why. The tax being reversed, at the rate it was charged. The total credit. Rules on credit notes differ by country, so check what your tax authority requires.

Credit note or refund?

A credit note changes what is owed. A refund moves money. If the customer has not paid yet, the credit note alone does the job. If they have, the credit note records the reduction and you either refund the money or hold the credit against their next invoice, whichever you agree.

Questions

Is it really free?

Yes. There is no account, no trial and no watermark beyond a small line at the foot of the document.

Should the amounts be negative?

No. A credit note shows positive amounts under a clear title; the title is what says it reduces the balance. Negative lines on a credit note are a common source of double negatives in accounts.

Can I credit part of an invoice?

Yes. Remove the lines that stand, and lower the quantity on any line you are crediting in part.

Where are my credit notes kept?

In your browser’s storage on this device. They are not sent to us or anyone else. Use Export as a file for anything you need to keep.

Does this adjust my accounts?

No. It makes the document. Record it in your accounting system as you would any credit note.
